Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support our

Director in day-to-day operations. The ideal candidate will excel in managing office tasks

efficiently, maintain a positive and professional office environment, and provide tailored support

that acknowledges and addresses the specific needs and experiences of each client. This role

requires exceptional communication skills, proficiency in office software, and the ability to

handle multiple priorities with ease.

Key Responsibilities:

• Office Management: Oversee daily office operations while maintaining a clean and

organized workspace.

• Administrative Support: Assist with scheduling.

• Communication: Serve as the first point of contact for internal and external inquiries.

Handle phone calls, emails, and in-person interactions with professionalism and courtesy.

• Document Management: Organize and maintain files, records, and documentation.

Ensure accurate and timely processing of paperwork and data entry.

• Event Coordination: Assist in organizing and coordinating company events,

conferences and wellness fairs, including logistics and preparations.

 

• Promotional Assistance: Support various projects and promote the practice by

encouraging service reviews.

• Team Collaboration: Work closely with team members to ensure smooth workflow and

assist with various tasks as needed.

 

Qualifications:

• Education: High school diploma or equivalent; Associate’s degree or relevant

certification preferred.

• Experience: Minimum of 2 years of experience in an administrative support role or

similar position.

• Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and

other relevant software. Strong organizational, multitasking, and problem-solving skills.

• Communication: Excellent verbal and written communication skills. Ability to interact

effectively with all levels of staff and clients.

• Attention to Detail: Meticulous and detail-oriented with a high degree of accuracy in

tasks and documentation.

• Time Management: Ability to prioritize tasks, manage time effectively, and meet

deadlines in a fast-paced environment.

 

Working Conditions:

• Hours: The bulk of the working hours should be completed in person during the business

work week (Monday to Friday, 9:00 AM – 5:00 PM)

• Environment: Other hours may be completed remotely after training and probationary

periods are completed.

• Travel: Some limited travel may be required
